Sponsorship Invoice Software

After a local business says yes, the hardest part is often getting paid — lost PDFs, unclear amounts, and treasurers who were not in the original email thread. SponsorStream HQ creates Stripe-hosted invoices from sponsor agreements so payment links, status, and follow-up stay visible to everyone who needs them.

Create Invoices From Agreements

When a sponsor accepts a quote, SponsorStream HQ creates an agreement with the package details, term, and amount. Generating an invoice pulls those fields forward — no retyping dollar amounts into a separate billing tool. The invoice links back to the company record in your sponsor CRM, so sponsorship leads and treasurers see the same source of truth.

Stripe-Hosted Payment Links

Sponsors pay through secure Stripe checkout. Your organization receives funds in your connected Stripe account. SponsorStream HQ does not hold donation or sponsor money on your behalf — standard card processing fees apply through Stripe only.

Treasurer Payment Visibility

Dashboard summaries show outstanding and paid invoice totals. Treasurers filter by status, send reminders, and reconcile against Stripe without asking the sponsorship chair for screenshots. Role permissions keep financial actions limited to the right volunteers.

Renewal and Unpaid Follow-Up

See which agreements are active but still unpaid. Send invoice emails from the platform and log follow-up on the company timeline. When renewal season starts, last year's paid sponsors surface for outreach before packages sell out.

One Agreement, One Invoice

Each agreement can have at most one active non-void invoice at a time. This protects sponsors from duplicate charges and protects treasurers from reconciling two links for the same banner package. If you void an invoice, the agreement returns to a state where a corrected invoice can be issued.

What Volunteers See Day to Day

Sponsorship leads focus on companies and agreements. Treasurers open the invoice list, sort by overdue, and send nudges before board meetings. When a sponsor pays, the agreement moves toward closed status and dashboard totals update — no manual cell coloring in a shared spreadsheet.

Frequently Asked Questions

Can I create an invoice without an agreement?

In advanced workflow mode, invoices typically flow from accepted quotes and active agreements. Basic Quick-Sell mode supports direct invoice creation for clubs that skip the quote step. Your organization chooses the workflow during onboarding.

What does the sponsor see when they receive an invoice?

Sponsors receive a Stripe-hosted payment page with your organization branding, line items, and a secure pay button. They do not need a SponsorStream account to pay.

Why is there only one active invoice per agreement?

Each agreement maps to at most one non-void invoice. This prevents duplicate billing and keeps treasurers from chasing two payment links for the same sponsorship. If an invoice is voided, you can generate a new one from the same agreement.

Can our treasurer mark payments received offline?

Yes. Invoices track Stripe payments automatically, and treasurers can record manual payments when sponsors pay by check at the booster meeting.
